Why Print QR Codes
Printed QR code labels let your team scan locations, assets, forms, or documents directly from their phone—no searching or typing. CalmCompliance's printing tool handles the layout for standard label sheets (e.g. Avery 5160, 5167) so you can print many labels at once. Print a test sheet on plain paper first to verify alignment before using label sheets.
How to Print QR Code Labels
Go to Settings > QR Code Printing
Open the Settings tab and choose a Preset (e.g. Avery 5160) or select Custom and enter your label dimensions in millimeters
For Avery labels, margins and spacing are usually 0mm. For custom labels, measure your sheet and enter Label Width, Label Height, Sheet Width, Sheet Height, and any margins or spacing.
Click the tab for the type you want: Locations, Assets, Shared Collections, Forms, or Planned Work
Check the boxes next to items you want, or use Select All for bulk selection
You can select items from multiple tabs. Use Quantity per Item in Settings to print multiple copies of each QR code.
Open the Preview tab to verify the layout before printing
Load label sheets into your printer, then click Print QR Codes in the top-right corner
In your browser's print dialog, set Scale to 100% and Margins to None—do not scale or add margins, or labels won't align
Choose your printer or Save as PDF to create a file for a print shop. Labels appear in a grid; each QR code is centered on its label.
Before You Start
You need a printer (or PDF export for a print shop), label sheets (e.g. Avery 5160, 5167), and items already created in CalmCompliance. Print a test on plain paper first and hold it up to your label sheet to verify alignment—if labels are off, adjust Top Margin or Left Margin in Settings by the offset amount and try again.
Common Questions
Can I print on plain paper instead of labels?
Yes. Use Save as PDF, then print on plain paper. You can cut out QR codes and tape them in place. Good for testing or temporary use.
Labels don't line up with the sheet—what do I do?
Print a test on plain paper, measure the offset, and adjust Top Margin or Left Margin in Settings. Repeat until aligned. For Avery labels, spacing is usually 0mm; for custom labels, measure the gap between labels and enter Horizontal Spacing and Vertical Spacing.
What's the best size for QR codes?
QR codes should be at least 25mm × 25mm (about 1 inch) to scan reliably. Avery 5160 (105mm × 74.25mm labels) gives plenty of room.
Can I save my label configuration?
Label settings don't persist between sessions. Note your dimensions, margins, and spacing if you frequently print the same format.
