Export a risk assessment as a spreadsheet

Risk assessments can be exported to a spreadsheet format so you can share the contents outside the system or work with the data in another tool.

Export a risk assessment

  1. Go to Risks and open the assessment you want to export.

  2. Click Export on the detail page.

  3. Choose the spreadsheet format.

  4. Download the file.

The exported spreadsheet contains the assessment details and fields visible on the assessment page, including participant data.

The workbook includes an overview sheet and a People & Groups sheet when entries exist. The data sheet behavior depends on the number of Matrix Sections on the assessment:

  • If the assessment has exactly one Matrix Section, the data sheet is named Risk Items and lists every hazard, controls, and scores, plus an optional People & Groups column when any item has participants.

  • If there are multiple Matrix Sections, the workbook includes one data sheet per section, named after the section title. Each sheet contains only the hazards from that register.

Full PDF and print output follow the assessment’s section display order, including Rich Text blocks, multiple Matrix Sections, Hazard Classifications sections, Hazardous Materials sections, Linked Documents sections, Image Gallery sections, and Map sections. Map sections are included when they contain a pin, a custom title or description, or a non-default saved view; wholly empty defaults are omitted. Hazard Classifications sections print their selected pictograms and names, plus any classification notes. Hazardous Materials sections print each linked material with its name, description when present, and hazard pictograms. Linked Documents sections print each linked document with its name, identifier, version label, and a reference to locate the controlled copy in the document library. Image Gallery sections print as a titled block with a three-column thumbnail grid. Map sections print as a titled block with a static map snapshot when included. PDF and print also include a People & Groups table with the same columns. In the Excel Workbook, Rich Text blocks currently appear on the overview sheet.

Before you start

You need the Manager or Admin module role for Risks to export assessments.
