Import a premises register from a spreadsheet
Premises admins can use the Bulk Import wizard in Premises Settings to import a complete site asset register from a spreadsheet. The wizard walks you through uploading a workbook, assigning roles to each sheet, mapping columns to premises fields, reviewing issues, and confirming the import.
Before you start
You need create permissions for asset classes, locations, asset models, and assets. If you do not see the Bulk Import option, contact your administrator.
Supported file types
The wizard accepts .xlsx, .xls, and .csv files.
Start the wizard
Open Premises Settings and select Bulk Import.
Click Download Template to get the
premises-bulk-import-template.xlsxfile, or use your own prepared spreadsheet.Click Upload & Analyse and choose your file.
Assign sheet roles
For each sheet in the workbook, choose the role that matches the data it contains:
Asset Classes — defines the asset taxonomy
Locations — buildings and rooms
Models — manufacturer and model details
Assets — individual asset instances
Ignore — sheets you do not want to import
Click Continue when the roles are assigned.
Map columns to fields
Map each column to the matching premises field. The wizard expects these fields:
Asset Classes: Class Code, Class Title
Locations: Location Code, Location Name, Location Type
Models: Manufacturer, Model
Assets: Asset Tag, Model Reference, Location Reference
Click Continue after mapping.
Review and fix issues
On the Review & Fix step, check the tables for missing or mismatched data. Resolve any errors before you proceed.
Confirm and import
On the Confirm step, review the records the wizard will create.
Click Run Import to start the import.
When the import finishes, click Done to close the wizard.
