Use Ask Calm for ticket and work-order reports
Ask Calm answers questions about the tickets and work orders on your current site, straight from the Command Palette. Press Control+K (Command+K on Mac) on any page of a site, choose Ask, and type your question.
Prerequisites: the Command Palette and AI features must be enabled for your organisation, and your owner manages those settings. Ask runs with your signed-in access, so you only ever see answers about data you can already view.
Open Ask Calm
Ask Calm lives inside the Command Palette on the site you have open; there is no separate page or chat window.
Open any page of the site you want to ask about.
Press Control+K (Command+K on Mac). The Command Palette dialog opens, described as "Go to a page on this site or Ask."
In the Ask group, do one of the following:
Choose Ask Calm to open an empty thread.
Type your question, then choose Ask: "your question" to send that text as your first message.
The shortcut is ignored while you are typing in a document editor.
Approve the first-use consent step
The first time anyone in your organisation uses Ask, a consent panel appears before your question is sent. It is headed "Ask About" followed by your site's name and states: "Answers are produced by sending relevant site information to Calm's AI provider. Models are not trained on your organisation's data."
Continue opens the thread and sends any question you had already typed.
Cancel returns you to the command list, and nothing is sent.
Your choice is remembered on that device for your organisation, so later uses of Ask skip the panel. For what sending site information to the AI provider means for your data, see Data storage, access, and AI privacy.
Ask a reporting question
In an empty thread, Ask suggests questions under Try asking:
What needs attention this month?
What is outstanding in the Inbox? (shown only when you can view issues or requests)
Which work orders are overdue? (shown only when you can view work orders)
Each suggestion appears only if you can view that data, and a question you have already used disappears from the list. Choose a suggestion, or type your own question in plain language. Ask can also report counts broken down by category, month, status, or time to close.
Read the answer
While your answer is being prepared, the thread shows "Looking that up" and the action becomes Stop. Each lookup the assistant performs appears in a collapsible activity row: a single lookup shows its own summary, such as "Looking up search inbox", and several lookups collapse into one row such as "Used 3 lookups".
When the answer arrives, it can include links to records in Calm, and selecting a link takes you to that record inside the app. After a completed answer, follow-up suggestions appear under Follow-ups; selecting one sends it as your next message. The thread header shows "Ask" followed by your site's name, with a Back control.
What Ask Calm can see
Ask answers only about the site you have open, using your signed-in access. It cannot answer beyond that site or beyond what you can see.
Reporting answers use complete counts over every matching record you may read, not a sample or a capped list. For how count accuracy and visibility work, see How AI report counts and visibility work.
Service Desk visibility follows your module role: a Service Desk Member sees only the tickets they created or were assigned, while Service Desk Managers and Admins see all issues and requests on the site. See Service Desk roles and access.
Ask is read-only. It reports on records but cannot create or change them.
