Manage equipment risk profiles
The Equipment risk register in the Risks module lets you create and maintain risk profiles for equipment, track hazards and control measures, attach images and documents, and link profiles to assets and risk assessments. Each profile supports categories, tags, comments, and followers so your team can collaborate and stay up to date.
Before You Start
You need the Risks module enabled for your site. Access to the Equipment register depends on your Risks module role:
Member — view equipment risk profiles
Manager — view, create, and edit profiles
Admin — view, create, edit, and delete profiles

Share profiles with child sites
When cascade is available and the site has child sites, create and edit forms include Share with Child Sites. New equipment risk profiles are shared by default. Open child sites can view shared profiles as read-only inherited records; sealed child sites do not. For the full cascade model across Risks, see Share risks content with child sites.
How to Create an Equipment Risk Profile
Go to Risks in the main navigation and open Equipment
Click New Equipment
Enter the profile details:
Name — required. If you leave this blank, the profile is saved as "Untitled Equipment".
Categories — optional. Select one or more categories to organise the profile and make it easier to filter later.

PPE Requirements — select one or more from the standard PPE list. Each selected requirement appears as a pictogram with its label on the detail page and register.
PPE Notes — optional free-text notes for additional detail such as respirator rating or glove type.
Is Lifting Equipment — toggle this on if the profile applies to lifting equipment.
Safe Working Load Value and Unit — enter the safe working load when applicable.
Tags — optional. Add tags to group and filter profiles alongside categories.
Images and Attachments — upload photos and documents to support the profile.
Save the profile. The app opens the detail page, where you are automatically set as a follower.
When you create a profile, the app automatically sets you as a follower so you receive updates on comments and changes.
How to Edit an Equipment Risk Profile
Open any equipment risk profile from the Equipment list and edit fields directly on the details tab. Click into a section to enter edit mode, change the value, and save. You can update name, categories, description, key hazards, control measures, recommendations, PPE requirements, PPE notes, lifting equipment status, safe working load, and tags.
How to Delete an Equipment Risk Profile
Go to Risks > Equipment
Open the profile you want to remove
Click the delete option and confirm
Deleting an equipment risk profile removes the record and its attachments. You need Admin role in the Risks module to delete.
How to Use Categories and Tags
Categories and tags help you organise and filter the register. Assign one or more categories when creating or editing a profile. Add tags for finer grouping.
Go to Risks > Equipment
Open the filter controls
Choose one or more categories, or select tags. The list updates to show profiles that match your selections.
How to Search and Sort the Register
The Equipment list supports search, sort, and pagination. Use the search field to find profiles by name, click column headers to sort, and use the pagination controls to move through long registers.
Comments and Followers
Each equipment risk profile has a comments tab where team members can add notes and discuss updates. The profile also shows followers, so people who need to stay informed are notified of changes. You automatically become a follower when you create a profile. Others can follow or unfollow as needed.
How to Export the Register
Go to Risks > Equipment
Open the export option
Download the CSV. The export includes columns for categories, tags, PPE data, and QR information.
Linking to Other Records
Each equipment risk profile detail page includes sections for related records:
Emission values — add emission values to the profile. See Add emission values to equipment risk profiles.
Asset links — link the profile to one or more asset instances so risk data is available where the equipment is tracked. See Link equipment risk profiles to assets.
Risk assessments — create or view assessments that include this equipment. Use the Create Assessment option in the risk assessment section to start a new assessment from the profile. See Add Equipment sections to a risk assessment.
Where PPE Data Appears
PPE requirements and notes are shown in three places:
Detail page — the PPE section on the profile record shows selected requirements as pictograms with labels, plus any notes.
Equipment register — the table includes PPE data in the relevant columns.
Export — spreadsheet exports include PPE columns with human-readable labels.
What to Do When the Register Is Empty
If no profiles exist, the page shows the empty state No Equipment Risk Profiles Yet. If you have Manager role or higher, a New Equipment button appears so you can create the first profile.
Common Questions
Can anyone edit an equipment risk profile?
No. Only users with Manager or Admin role in the Risks module can create or edit profiles. Members can view but not change records.
What happens to attached files if I delete a profile?
Deleting an equipment risk profile removes the record and its attachments. Before deleting, you will see a confirmation dialog.
Can I link one profile to multiple assets?
Yes. Use the asset link section on the detail page to connect a profile to as many asset instances as needed. For more on assets, see Asset Instances.
Can I create a risk assessment from an equipment profile?
Yes. Open the equipment risk profile and use the Create Assessment option in the risk assessment section. For more on risk assessments, see Create a risk assessment.
