Control access to sensitive personnel record details
Record Access Views let you hide sensitive personnel block content until a staff member clicks View Information. Each reveal is recorded in the audit log.
Enable Record Access Views on a personnel block
Turn on the toggle inside a personnel block to require a click before the content is shown.
Open the personnel record and find the block you want to protect.
Click Edit on the block.
Turn on Record Access Views.
Save the block.
Staff will now see a locked state and must click View Information to reveal the content.
Blocks protected by default
Record Access Views is enabled by default for sensitive block types, including identity documents, payroll details, emergency contacts, and right-to-work information.
What staff see when a block is locked
When a block has Record Access Views turned on, staff see a locked view instead of the content. They must click View Information to reveal the details for that session.
How views are recorded in the audit log
Every time someone clicks View Information to reveal a locked block, the action is recorded in the audit log. You can review these events in Viewing Audit History and Understanding Audit Events.
Before you start
You need permission to edit personnel records to turn on Record Access Views. If you do not see the edit option on a personnel block, contact your site administrator.
