What is the Personnel module?
The Personnel module extends the base person page into a full personnel record where you can store HR details, upload files, track training, and control access to sensitive information.
Person pages without the Personnel module
Even without the Personnel module, you can open a person page from the People list under Contacts. Contacts > People is visible when you have Site Manager or Site Admin access, or any Personnel module role (Member, Manager, or Admin). For the full access breakdown, see Personnel roles and access.
A person page without the Personnel module shows basic profile details and a Distributions section that tracks document, risk, and form distribution assignments. The section shows an overall completion percentage and an On Track or Needs Attention indicator, plus expandable module rows for each type. You cannot add personnel blocks, upload files, or add comments.
What the Personnel module adds
When your organization has the Personnel module, the person page becomes a personnel record with additional sections and actions.
Sections on a personnel record
Personnel Blocks — store employment details, DBS certificates, emergency contacts, right-to-work checks, and other HR data. Supported blocks also include a File Attachments section for uploading certificates and documents directly to the block.
File Attachments — upload and manage files attached to the record.
Training — a standalone card with an overall completion percentage, an On Track or Needs Attention indicator, expandable course rows, and Overdue / In Progress / Complete filters.
Companies — see which companies this person is a contact for.
Skills — skills assigned to the person manually, plus skills that accreditation records contribute automatically. See Assign and manage skills on personnel records.
Requirements — the compliance requirements that apply to this person and how they are doing against each one. See Manage compliance requirements and Review company and personnel compliance.
Actions on a personnel record
Create Personnel Record — turns a basic person page into a personnel record so you can start adding blocks and files.
Edit — update the record from the person page.
Merge — combine duplicate people when you are a Site Admin with authority on every site involved in the merge.
View assets assigned to a person
The Assigned Assets card on a person page shows every asset currently assigned to that person, along with the asset's location and the date it was assigned.
Open a person record from the People list.
Look for the Assigned Assets card on the person page.
Review the asset name, location, and assignment date in the Asset, Location, and Since columns.
Click an asset to open its full details.
The card is hidden when the person has no current asset assignments. It also requires the appropriate module roles for Premises and People or Personnel access. If you do not see the card, check that the person has assigned assets and that your site administrator has granted you the correct module roles. To assign or reassign assets, see Asset Instances. How to create a personnel record
You can create a personnel record in two ways:
Open a person page and click Create Personnel Record, then add personnel blocks.
Turn on the Create Personnel Record toggle when you add a new user in User Management. This is only available if your organization uses the Personnel module. Adding a user requires Site Admin authority on every site you grant.
Before you start
The Personnel module must be included in your organization's subscription. If you do not see Personnel in the sidebar or access control settings, your organization has not been provisioned with it. Contact your site administrator if you need the module enabled.
