Operations Overview
The Operations module is where you plan, execute, and track recurring maintenance, inspections, and compliance work. It replaces paper checklists and disconnected spreadsheets with scheduled work orders, structured checklists, and an automatic evidence trail that keeps you audit-ready.
Key concepts at a glance
Work Schedule β the recurring definition of what work to do, how often, and against which assets or locations. It is not a single job; it is the template that generates work over time.
Work Order β the executable unit of maintenance work. A work order carries an assignee, a target location or asset, checklists, and a lifecycle. Some work orders are generated automatically by a schedule; others are created on the spot for ad-hoc tasks.
Checklist β a named ordered set of steps the operator completes as part of the work, including pass/fail checks, measurements, photos, and signatures.
Scheduled Work β one schedule on one calendar date, before or as a work order exists. It lets you preview, plan, and adjust upcoming occurrences before they become live jobs.
How Operations fits with other modules
Operations depends on the Premises module. Locations and assets defined in Premises are the targets for work orders and schedules, so you need a site and premises set up before you can plan work.
Other modules connect to Operations in the following ways:
Service Desk β work orders can link to issues and requests, and checklist steps can raise new Service Desk issues when something is flagged during an inspection. Creating Work Orders from Issues or Requests explains how to convert a ticket into a job.
Risks β work orders can reference risk assessments so that operators acknowledge hazards before starting work.
Calendar and Inbox β work assigned to a user appears in their Calendar and Inbox, alongside notifications from other modules.
Who can do what
Operations uses three module roles: Member, Manage, and Admin.
Member can view work orders, schedules, and checklists; start and resolve work orders; and comment on work.
Manage can do everything a Member can, plus create, update, and delete work orders, schedules, and checklist templates; view all comments; open Operations Insights; and manage work categories.
Admin has full control over every aspect of the module.
