Import documents from Google Drive or SharePoint
Instead of uploading a file from your computer, you can import documents directly from Google Drive or SharePoint / OneDrive. Imported files become drafts in your Documents library, and CalmCompliance keeps a link to the original so you can check for updates later.
How to import a document
Go to Documents from the main menu
Click Add Document in the top right
Select Import From
Choose your provider:
Google Drive — Import a Google Doc, Sheet, Slides file, or PDF from your Google Drive.
SharePoint / OneDrive — Import an Office document or PDF from Microsoft 365.
Sign in to your account and pick the file you want
Review the draft that appears in your Documents library. The file is stored as a PDF-backed draft with the original source details preserved on the version.
Fill in the document details and publish when ready
What file types you can import
Google Drive
Google Docs, Sheets, and Slides
PDFs
Non-PDF files are converted to PDF automatically. Other file types are not selectable in the picker.
SharePoint / OneDrive
Office documents (Word, Excel, PowerPoint)
PDFs
CSV files are not selectable. The picker shows only supported file types.
Check for source updates
After a document has been imported, you can check whether the source file has changed without uploading a new version manually.
Open the imported document
Click New Version
CalmCompliance checks the source file automatically. One of three things happens:
Up to date — the source hasn't changed. You'll see the message: This document is up to date with its source file.
Updated — the source has changed. A new draft is created from the latest source file, or the existing draft is updated if you already have one.
Broken link — the original file was moved or deleted. You'll see the message: The linked source file could not be found. Upload a file manually or import the document again from its new location.
Before you start
You need the Manager role for the Documents module. If you can't access this feature, ask your site administrator to update your permissions in Settings > User Management > Edit Access.
Your site must also have Google Drive and Microsoft 365 integrations configured by your administrator. If you see a configuration error when choosing a provider, contact your administrator.
Common questions
Can I import a Word or Excel file? Yes, from SharePoint / OneDrive. From Google Drive, only native Google Docs, Sheets, Slides, and PDFs are selectable; other file types are excluded from the picker.
What happens if the source file is deleted? The document remains in CalmCompliance with its last imported version. If you try to check for updates, you'll be prompted to re-import or upload manually.
Does importing keep the original file in sync automatically? No. CalmCompliance checks the source only when you use New Version. There is no automatic background sync.
