Create and assign Calm training courses
Calm training courses let you build internal training programmes with custom steps, optional validity and personnel record grants, assign them to people or groups, and track completion in one place. Admins create courses in the Training area; learners complete them from the My Courses page.
You need the Manager or Admin role for the Personnel module to create, edit, publish, and assign courses.
How to create a Calm course
Go to Training > Courses.
Click Create Course and choose the Calm course type.
Enter a Course Name and optional Description.
Optionally add:
Validity — default certificate expiry for future completions that have no explicit certificate date. Choose Does Not Expire or Expires After with a whole number of months in Validity Period (Months).
Personnel Record — grant one certificate-like personnel block when someone completes the course.
Click Create Course.
The new course opens in the course builder. Course detail shows Validity and Personnel Record in the course information sidebar. Calm courses do not use a human Training Provider field; that setting is for external courses only.

How to add steps to a course
Steps are the items learners must complete. You can add documents, forms, videos, PDFs, risk assessments, and quiz assessments.
In the course builder, click Add Step.
Select the step type you want:
Document — attach a policy or guidance document
Form — link a form the learner must fill in
Video — add a training video
PDF — attach a PDF for review
Risk Assessment — include a risk assessment the learner must complete
Assessment — add a quiz with a pass mark and attempt limit
Configure the step settings and click Save.
Repeat for each step you need.
Arrange steps in the order learners should complete them. Each step is tracked individually so learners can see their progress.
How to publish or archive a course
A course must be published before you can assign it to learners.
Open the course from Training > Courses.
Review the step list and settings.
Click Publish to make the course available for assignment.
To remove a course from active use, open it and click Archive. Archived courses can no longer be assigned, but existing assignments remain visible.
How to delete a Calm course
Delete draft or archived Calm courses from the course detail page. Published Calm courses cannot be deleted until you archive them first.
Delete a draft Calm course
You need the Manager or Admin role for the Personnel module. If the draft still has assignments, deletion is blocked until those assignments are removed.
Go to Training > Courses and open the draft course.
Click Delete.
Tick I understand this action cannot be undone.
Click Delete Course.
After deletion, you return to the course catalogue.
Delete an archived Calm course
You need the Admin role for the Personnel module. Deleting an archived Calm course permanently removes its linked assignments, fulfillments, training results (completions and certificates linked to the course), and quiz attempts.
Go to Training > Courses and open the archived course.
Click Delete.
Review the counts of assignments, fulfillments, and training results that will be permanently deleted.
If any linked records exist, tick I understand assignments, fulfillments, and training results will be permanently deleted.
Tick I understand this action cannot be undone.
Click Delete Course.
Quiz attempts are also removed with the course, even though the deletion preview only lists assignments, fulfillments, and training results. This cannot be undone.
To remove one manual assignment without deleting the whole course, use Delete Assignment on the course Assignments panel instead — see Manage training courses and results.
How to assign a course
You can assign a Calm course to individuals or to groups. When you assign to a group, the system creates an individual assignment for every member.
Go to Training > Courses.
Open the course you want to assign.
Click Assign Training.
In the Assign To section, choose People or Groups.
Select one or more people or groups.
Set a due date (optional) and click Create Assignment.
Each learner receives a notification and sees the course in their inbox. After assignment, managers can change due dates, remove people, or delete manual assignments from the course Assignments panel — see Manage training courses and results.
How learners complete a course
Learners work through assigned courses from the My Courses page.
Go to My Courses.
Open the assigned course.
Complete each step in order.
Click Mark Complete (or the equivalent action for the final step) to finish the course.
Progress is saved automatically after each step. The course status updates to completed once all steps are done. If the course has a validity period and the result has no explicit certificate expiry, certificate expiry is derived from the completion date. If the course grants a personnel record, completion can create or extend that block without shortening a more current existing block.

Common questions
Can I edit a course after it is published? Yes. Open the course in the builder, make changes, and save. Learners with active assignments will see the updated content. Changing Validity affects future completions only; existing result expiry dates stay as stored.
What happens when I assign a course to a group? The system creates an individual training assignment for every member. Each person sees the course in their inbox and My Courses page.
Can learners see courses they have already completed? Yes. Completed courses remain on the My Courses page with a completed status so learners can refer back to them.
Can I assign a course to a single person? Yes. Choose People in the Assign To section and select the individual.
What step types are supported? Documents, forms, videos, PDFs, risk assessments, and quiz assessments.
