Attach risk assessments to locations
You can attach published risk assessments to any location, detach direct links without deleting the assessment, and see which assessments a location inherits from its parent locations in the same site.
Before you start
Attaching or detaching an assessment needs the Manager role (or higher) for the Premises module and the Member role (or higher) for the Risks module. Viewing assessments on a location needs the Member role (or higher) for both modules. Roles are assigned in Settings > User Management. For details, see Premises roles and access and Risks roles and access.
The assessments you attach must already exist and be published. If you still need to create one, see Create a risk assessment.
Attach published assessments to a location
Use the Risk Assessments card on the location page. The card appears for locations in sites with the Risks module when assessments are present or when you can manage the location.
Go to Premises > Locations and open the building or room
Find the Risk Assessments card on the location page
Click Attach Assessment
Search for assessments and select the ones you want to attach. Only published assessments can be attached. Assessments that have expired appear in the list but cannot be selected
Click the Attach button, which shows the number of assessments you selected
Detach a direct link
Detaching removes only the link between the location and the assessment. The assessment itself is not deleted and stays available to attach elsewhere.
On the location's Risk Assessments card, find the assessment attached directly to this location
Click Detach and confirm
You can only detach direct links. Assessments inherited from a parent location cannot be detached from the child location.
Assessments inherited from parent locations
When you attach an assessment to a parent location, it becomes available on every location beneath it in the same site's location tree, the same way documents and checklists inherit. On a child location, inherited assessments are collapsed by default behind a count line such as "1 risk assessment available from parent" together with a Show control. Click Show to expand the list and Hide to collapse it again.
Expanding the list shows the inherited assessments grouped under the parent location they come from. They are read-only on the child location: you can view them there but cannot detach them, so remove the link on the parent location instead.
Which assessment shows when the same one is linked in several places
Each assessment appears once on a location card. If the same assessment is attached directly to the child location, the direct link is shown instead of the inherited one. If it is attached at several ancestor levels, the link from the nearest parent location is used and the farther duplicates are suppressed.
Who sees what on the card
Location assessment counts include inherited assessments. Users who can manage the location but do not have access to view risk assessments see a notice with the count of attached assessments instead of the assessment details.
Where inheritance applies
Inheritance follows the location tree within a single site only. Links are not copied to locations on child sites elsewhere in your organisation, and they are not controlled by child-site sharing settings. Sharing risk content with child sites is a separate site-level feature; see Share risks content with child sites.
