Export or download a risk assessment
Structured risk assessments can be exported to spreadsheet and structured PDF styles so you can share the contents outside the system or work with the data in another tool. PDF assessments do not use those structured export styles; they offer the uploaded PDF for the selected version instead.
Download a PDF assessment
On a PDF assessment, use Download PDF to download the uploaded file for the version you are viewing. Structured styles such as spreadsheet workbook, Full PDF, and Items Table PDF are not offered.
Go to Risks and open the PDF assessment.
Select the version you need, if you are not already on it.
Click Download PDF.
You need the Manager or Admin module role for Risks to download. Draft visibility, category access, and site access still apply to who can open or download the file.
Export a structured risk assessment
Go to Risks and open the structured assessment you want to export.
Click Export on the detail page.
Choose the spreadsheet format.
Download the file.
The exported spreadsheet contains the assessment details and fields visible on the assessment page, including participant data.
The workbook includes an overview sheet and a People & Groups sheet when entries exist. The data sheet behavior depends on the number of Matrix Sections on the assessment:
If the assessment has exactly one Matrix Section, the data sheet is named Risk Items and lists every hazard, controls, and scores, plus an optional People & Groups column when any item has participants.
If there are multiple Matrix Sections, the workbook includes one data sheet per section, named after the section title. Each sheet contains only the hazards from that register.
Full PDF and print output include any selected summary widgets above the content sections, in the same order as on the assessment page. Export output is non-interactive. Full PDF and print then follow the assessment's section display order, including Rich Text blocks, multiple Matrix Sections, Risk Register sections, Hazard Classifications sections, Hazardous Materials sections, Linked Documents sections, Image Gallery sections, Map sections, and PPE sections. Map sections print as a titled block with a static map snapshot when included. PPE sections print each selected requirement as a pictogram paired with its label, plus any notes when present. PDF and print also include a People & Groups table with the same columns. In the Excel Workbook, Rich Text blocks currently appear on the overview sheet.

Equipment sections in exports
When a structured assessment includes Equipment sections, Full PDF and print output include each linked equipment profile with its name, categories, and emission values. The Excel Workbook export also includes Equipment section data on the overview sheet and in the relevant assessment output.
Risk Register sections in exports
When a structured assessment includes Risk Register sections, Full PDF and print output include each hazard with its description and any existing or mitigation controls, without score columns or risk bands. Risk Register sections appear in display order alongside other section types.
The Excel Workbook includes one worksheet per Risk Register section, named after the register title and made unique when necessary. Each sheet has columns for #, Description, Existing Controls, and Mitigation Controls, with no score columns.
