Add notes to locations and assets

You can add free-form notes directly to a location, asset model, or asset instance from the record page. The Notes field appears inline, so you can capture extra context without opening a separate edit form.

Before You Start

You need the Manager role for the Premises module to add or edit notes. If you do not see the Notes section, ask your site administrator to update your permissions in Settings > User Management.

How to Add or Edit Notes on a Location

  1. Go to Premises > Locations and open the building or room

  2. Find the Notes section on the record

  3. Click Add notes or the existing note text

  4. Enter your text and save

The note appears on the location page immediately.

How to Add or Edit Notes on an Asset Model

  1. Go to Premises > Asset Models and open the model

  2. Find the Notes section on the record

  3. Click Add notes or the existing note text

  4. Enter your text and save

The note appears on the asset model page immediately.

How to Add or Edit Notes on an Asset Instance

  1. Go to Premises > Assets and open the asset

  2. Find the Notes section on the record

  3. Click Add notes or the existing note text

  4. Enter your text and save

The note appears on the asset instance page immediately.

How View-Only Access Works

Users without the Manager role for Premises can see notes but cannot edit them. The Notes section appears as read-only text on the record page.

How to Clear a Note

Saving the Notes field with no text removes the note from the record.

  1. Open the notes field on the location, asset model, or asset instance

  2. Delete the existing text so the field is blank

  3. Save

The Notes section returns to Add notes once the note is cleared.
