Add access instructions to a location

Access instructions let you store rich text guidance and file attachments directly on a location, so staff and visitors see the right information when they need it. You can also choose whether to record who views the instructions, which adds a gate on the QR scan page so visitors confirm they have opened the information before seeing the full details.

Before you start

You need the Manager role for the Premises module to add or edit access instructions on a location. If you don't see the option to add an access block, ask your site administrator to update your permissions in Settings > User Management.

Add an Access Instructions block

  1. Go to Premises > Locations and open the building or room

  2. Add an Access Instructions block to the location

  3. Write the instructions in the editor. You can attach files if needed

  4. Choose whether the instructions are visible when someone scans the location QR code

  5. Turn on Record access if you want to track who views the instructions

The access instructions appear on the location page immediately. If you made them visible on QR scans, anyone who scans the location QR code can see them.

What visitors see when they scan the QR code

When Record access is enabled, visitors who scan the location QR code must tap or click to open the access information before they can see the full details. The view is recorded. When Record access is off, the instructions appear directly on the scan page without an extra step.

If your site has disabled public scanning, visitors will need to sign in before they can access any location content, including access instructions. For details, see QR Code Scanning Workflow.

Manage or remove access instructions

You can edit the Access Instructions block to update the text, change attachments, or adjust visibility and recording settings. You can also delete the block to remove it from the location entirely.
