Some modules depend on others. If you granted access to a dependent module, the required module stays in the template so permissions remain valid.
Module Entitlements and Permission Templates
Module entitlements control which modules your organisation has. Permission templates are reusable module-role sets you apply when adding users, editing access, or importing people.
Module entitlements
Module entitlements are set at the organisation level by your CalmCompliance administrator or account manager. If a module does not appear in the sidebar or in Access Control, your organisation is not entitled to it. Contact your CalmCompliance administrator to request additional modules.
You can only assign roles for entitled modules. Permission templates only show modules your organisation has.
Create a permission template
Only Site Admins can create templates. Site Managers do not see the Templates tab.
Go to Settings > User Management and open the Templates tab.
Click Add Template.
Enter a Template Name.
Optionally add a Description.
In Module Roles, set the role for each module: No Access, Member, Manager, or Admin.
If one module depends on another, CalmCompliance adds the required module role automatically.
If you have child sites, turn on Share with child sites to make the template available on those sites.
Click Create Template.
Apply a template
Applying a template requires Site Admin authority on every site the template will affect.
Go to Settings > User Management > Users.
Click Add User, or open an existing member with Edit Access.
In the Access Control table, find the site row and open the Set As dropdown.
Under Templates, select the template. It fills in the roles for that site.
Adjust roles if needed, then save or complete Add User.
A template applies to the site you selected in Access Control, not every site at once. To use the same roles on multiple sites, apply the template for each site, or use Set All after applying a template.
You can also map a spreadsheet column to Permission template during Import Users & Personnel. A usable template name on a row grants that template’s module roles for the new membership. A blank cell falls back to the shared access policy set in the import wizard. Template names match after ignoring letter case and extra spaces. A missing template, a name that matches more than one usable template, a template the site cannot use, or a usable template that grants no access blocks that row. Edit or delete a template
Only Site Admins can edit or delete templates created at the current site.
Go to Settings > User Management > Templates.
Open the template.
Update the name, description, module roles, or sharing setting.
Click Save Changes.
To delete a template, open it and click Delete. Inherited templates show a From [site name] badge and open as View Template; you cannot edit or delete them on the child site. Shared templates can show a Shared badge when applicable.
Deleting a template removes it from the list. People who already received roles from that template keep their current access.
Before you start
You need the Admin role for the Site module to create, edit, delete, or apply permission templates. Site Managers have view-only User Management and cannot open the Templates tab. If you do not see Templates or Add Template, contact a Site Admin.
Common questions
Why can’t I remove No Access for a module?
Can I use a template from a parent site on a child site?
Yes. Templates created on a parent site with Share with child sites turned on appear on child sites with a From [site name] badge. Child sites can apply them but cannot edit or delete them.
Do templates apply to all sites at once?
No. When you apply a template, it applies to the site selected in Access Control.
What happens if I delete a template?
The template is removed from the list. Existing user access is unchanged.
