Request a one-off approval
You can request approval for a document or risk assessment draft even when it does not use a preset approval policy. In the publish screen, choose the request approval option, select individual reviewers or groups, add a short description of what changed, and submit. The draft shows an awaiting-approval status until the review is complete.
Before you start
One-off approval requests are only available for drafts that are not already tied to an approval policy. If the item uses a policy-based workflow, submit it through the standard approval workflow instead.
Request approval for a document draft
Open the document draft you want to submit.
In the publish draft screen, find the Request approval section.
Under the selector, choose reviewers from the Individuals list and/or the Groups list.
At least one approver must be selected.
Only one approval is needed to complete the review.
Add a short change summary that explains what changed in the draft.
Click Request Approval.
Request approval for a risk assessment draft
Open the risk assessment draft you want to publish.
In the Publish Assessment dialog, choose Request Approval.
Under Select Approver, choose a user or group who should review the assessment before it is published.
At least one approver must be selected.
Only one approval is needed.
Enter Publish Notes that describe what is changing in this publication.
Click Request Approval.
What happens after you submit
The draft status changes to awaiting approval. The draft stays locked while review is in progress, and you will be notified when the review process is complete.
The request is recorded in the audit trail as an ad hoc approval. If the approver rejects the draft, it returns to draft status and you can make changes and submit a new request.
