Tag-Based Filtering and Search
Tag filters let you quickly find documents, risk assessments, forms, issues, and other items with specific tags—without manually searching or scrolling through long lists. Use them when you need to narrow down a list to items that share a category (e.g. "Fire Safety", "Quarterly Review") or when preparing audits, investigations, or compliance reports. The Tags filter appears in the filter bar on most list views across CalmCompliance, so once you know how it works, you can use it everywhere.
How to Filter by Tags
Open a list view (e.g. Documents > Library, Risks > Assessments, Forms > Templates, Service Desk > Issues, Incidents, or Assets)
Click the Tags filter in the filter bar at the top
Search for a tag by typing, or scroll and select one or more tags
The list updates immediately to show only items with the selected tags
When you select multiple tags, choose whether the filter shows items that have any of those tags (Match Any, or OR logic) or all of those tags (Match All, or AND logic). The choice appears next to the tag selector when you select more than one tag.
To clear filters: click the X next to a tag badge to remove that tag, or click Clear all filters to remove everything.
Tip: You can combine the Tags filter with the search bar—apply tag filters first to narrow the list, then search for keywords within those results.
Match Any vs. Match All
When you select more than one tag, the filter bar shows a toggle between Match Any and Match All.
Match Any (OR) — shows items that have at least one of the selected tags. Use this for broad searches where you want to see anything related to a set of themes.
Match All (AND) — shows only items that have every selected tag. Use this to narrow down to records that meet multiple criteria at once.
For example, if you select "Fire Safety" and "Annual Review":
Match Any shows items tagged with either or both tags.
Match All shows only items tagged with both tags.
Common Questions
Why don't I see all my tags in the filter? The filter only shows tags relevant to the current view. If a tag has "Limit Usage" and is restricted to certain content types, it won't appear in filters for other content types.
Can I save my tag filter preferences? Filter settings reset when you leave the page. For quick access to common filters, create dashboard widgets with those filters pre-applied.
Do tag filters work with exports? Yes. Exports include only the filtered items—apply your tag filters first, then export.
What is the difference between Match Any and Match All? Match Any (OR) shows items that have at least one of the selected tags—useful for broad searches. Match All (AND) shows only items that have every selected tag—useful for narrowing down to records that meet multiple criteria at once.
