Manage site roles in Contacts
Shared site roles are managed in Contacts > Roles, not in Standards. The Roles page is a site-wide directory of named roles such as Data Protection Officer or Quality Manager: it lists every named role at your site, its current holder, and the history of who held the role and when, including roles that are not used by Standards.
Who can use this page
You need the Site Member module role to view the Roles page. To create, rename, or change roles, you need the Site Manager or Administrator module role. Viewing or managing shared roles does not require Standards or Personnel access.
Standards managers can select an existing named role when assigning a responsibility in Standards, but Standards management access alone does not allow them to create, rename, or change shared roles. Shared role management is Site Manager or Administrator work.
Review a role and its holder
The Roles page sits between Companies and Requirements in the Contacts navigation.
Open Contacts from the main navigation, then select Roles.
Choose a role from the list. Each row shows the role name and its current holder.
Select the role to open its details and the Holder History.
Change a role holder
Changing a holder updates every active or adopting Standards responsibility that references the role and refreshes the affected custom compliance populations. You need the Site Manager or Administrator module role.
On the Roles page, select the role you want to update.
Click Change Holder.
Choose a Holder Type: User, Person, Company, Company Contact, or Group.
Select the new holder and save the change.
Holder eligibility follows access rules: User and Group holders need no Personnel access, while Person, Company, and Company Contact holders remain subject to Personnel access checks.
Create a new role
On the Roles page, click New Role.
Enter a Role Name, such as Quality Manager.
Choose a Holder Type and select the holder.
Save the role.
If the name you enter duplicates an existing role name, the form shows a warning. You can still save the role with that name.
To rename a role instead, select it, click Edit Role, change the Role Name, and save. Renaming preserves every holder period, so the history stays complete.
What the list shows
The Roles list displays every named role at your site, not only roles used by Standards. Each entry shows the role name and its current holder, and selecting a role opens its details and holder history.
Role changes are recorded in the audit log as Site Role Created, Site Role Updated, and Site Role Holder Changed. These events are visible only to users who can view roles at the site. See Viewing Audit History and Understanding Audit Events.

Standards has its own Role Holders report, which is read-only: it groups current responsibility holders from direct assignments, named-role holders, and inherited default Owners, and archived named roles appear as missing there.
