Record a renewal decision
Record a renewal decision from the "Renewal Decision" card on a contract's details page: select "Update Decision", choose one of the five decisions, and save. Recording a decision needs the Contracts Manager role; Members can view the card but not update it.
Decisions you can record
The five decisions are:
"Let It Renew" means the contract renews automatically unless notice is given.
"Reviewing" means the renewal is still being considered.
"Give Notice" records your intent to end the contract at its term end.
"Renew or Replace" means the contract will continue through a new or replacement agreement, settled by linking a successor contract.
"Let It Lapse" means the contract ends at its term end.
Not every decision is available on every contract:
Auto-renewing contracts offer every decision except "Let It Lapse".
Fixed-term contracts offer every decision except "Let It Renew".
Expired fixed-term contracts offer only "Let It Lapse" and "Renew or Replace".
A contract with no term end offers no decisions, because there is no term end for a decision to apply to.
Record the decision
You need the Contracts Manager role. Every decision is saved against the contract's current term end, and the card also shows the "Notice Deadline", which is the term end minus the contract's notice period.
Open the contract's details page.
On the "Renewal Decision" card, select "Update Decision".
Choose a decision from the list above.
If you chose "Reviewing", set a "Reviewing Owner", the person responsible for the review.
Optionally add a note to explain the decision. Any decision can carry a note.
Save.
Change a decision later
Changing the decision replaces the current one for the current term, so the card always shows one decision per term. Earlier decisions stay in history, so you keep a full record of how the renewal was handled.
What to do next
Two decisions have follow-up actions that the decision alone does not complete:
"Give Notice" records your intent only. The card shows "Notice not yet recorded" until you record the notice separately in Record notice given.
"Renew or Replace" is settled by linking a successor contract. See Renew or replace a contract.
