Renew or replace a contract
Start a renewal from the "Link Contract" menu on the predecessor's Contract Details page, or link a replacement or a parent agreement from the same menu. You need the Contracts Manager role.
Create a renewal
A renewal is a new contract record linked to the agreement it replaces. If you have already recorded a "Renew or Replace" decision, you can also reach the same form by choosing "Update Decision".
Open the contract and, in its Related Agreements section, click "Link Contract".
Click "Create Renewal". This item only appears when the contract does not already have a renewal successor.
Review the prefilled values. The form carries over Type, Title, parties and party contacts, covered records (assets and locations), Owner, Term, Notice Period, Renewal schedule, and commercial terms. The start date is set to the day after the predecessor's term end, and if the predecessor auto-renews, the renewal has no fixed expiry.
Enter the new Contract Number, Reference, and Notes. These three fields start blank.
Click "Create Renewal" to save. You land on the new contract's Contract Details page.
Files, comments, and renewal decisions are not copied to the renewal. The predecessor's followers follow the new contract automatically, and you do too as its creator.
A predecessor can have only one renewal. If you need a different agreement to take over instead, link a replacement. To add or change linked records on the new contract, see Link records to a contract.
If you open the renewal form from a contract you cannot edit, the form explains: "Create a renewal from the owning site with permission to update the earlier contract."
Link a replacement instead
Use a replacement when a different agreement takes over from this one. Replacements are many-to-many: one contract can be replaced by several, and several can be rolled into one.
On Contract Details, click "Link Contract", then "Link Renewal or Replacement".
In the "Relation" dropdown, choose "Replacement".
Under "Selected Contract", choose "Succeeds This Contract" if the agreement you are about to pick takes over from this one, or "Precedes This Contract" if this one replaces the other.
In the "Select Contract" picker, search for the related agreement and select it.
Click "Link Contract". Both contracts keep their own terms.
Place a contract under another agreement
Use the "Link Contract" menu to nest agreements. "Place Under Another Agreement" appears when the contract has no parent and no child agreements; "Add Agreement Under This One" appears when it has no parent agreement.
On Contract Details, click "Link Contract".
Choose "Place Under Another Agreement" to sit this contract beneath an existing agreement, or "Add Agreement Under This One" to nest another agreement beneath it.
In the dialog, set "Relation" to "Under". The other options are "Renewal" and "Replacement".
Under "Selected Contract", choose "Is Under This Agreement" or "Is the Umbrella Agreement".
In the "Select Contract" picker, search for and select the agreement, then click "Link Contract".
What the predecessor shows afterwards
Once a successor is linked, the predecessor shows "Successor in place" while its term runs, and "Superseded" after the term ends. If the predecessor auto-renews and notice has not been given, the renewal decision card warns: "A successor is in place, but this agreement will still renew unless notice is given." Record the notice you have given as described in Record notice given.
A "Renew or Replace" decision settles to "Renewal Secured" once the renewal is in place. See How renewal decisions work for how decisions change, and Record a renewal decision for the decision itself.
The history cards name the pair from each side. The predecessor shows "Renewed By" or "Replaced By"; the successor shows "Renews" or "Replaces". In the linking dialog, the direction is described as "Succeeds" and "Precedes".
Where superseded contracts go
Superseded contracts are hidden from the Contracts register and from linked-record sections by default. On the register, the "History" filter offers "Current Contracts" (the default), "Current and Superseded", and "Superseded Only". When contracts are hidden, the register shows how many, for example "3 Superseded hidden".
