Adopting and Managing Standards

Upgrade a site to a newer standard version

Move a site from an older standard version to a newer published version through the guided Upgrade Standard wizard. The wizard shows you exactly what will change, copies matching configuration forward, and lets you decide whether to keep the previous adoption available or archive it.

Before you start

You need the Manager or Admin role for the Standards module at the site.

The upgrade option is only available when:

  • The standard is not already on the latest published version.

  • The site does not already have a non-archived adoption of the newer version.

Start the upgrade

  1. Go to the site and open the standard you want to upgrade.

  2. In the standard detail sidebar, click Upgrade Standard.

Step 1: Review Changes

The first step shows the differences between your current version and the newer version.

  1. Under What Is Changing, read the description: Configuration on matching requirements will be copied to the new adoption.

  2. Review the three groups of requirements:

    • Added β€” new requirements that appear in the newer version.

    • Removed β€” requirements that no longer exist in the newer version.

    • Unchanged β€” requirements that exist in both versions. Their applicability, parameters, role assignments, and evidence links will be copied to the new adoption.

  3. If there are no added or removed requirements, the step shows: All requirements are unchanged between these versions.

  4. Click Next: Parameters.

Step 2: Adoption Parameters

The second step lets you confirm or update the answers that configure how the standard applies to this site.

  1. Fill in each adoption parameter. Depending on the standard, you may see:

    • Yes/No toggles

    • Dropdown choices

    • Staff group selectors

    • Free text inputs

  2. Review the Default Owner section, which pre-fills the owner on each requirement. For help choosing between a site role and a direct user, see Set a default owner for a standard.

  3. Click Next: Confirm.

Step 3: Confirm Upgrade

The third step is a summary of the upgrade before you submit.

  1. Under Review Upgrade, check the following:

    • Version β€” the From version and To version, with a count of added, removed, and unchanged requirements.

    • Adoption Parameters β€” your answers. If none were set, it shows None.

  2. If anything is wrong, click the relevant section to go back and edit it.

  3. Decide whether to archive the previous adoption:

    • To hide the current adoption after the upgrade, check Archive Previous Adoption. The description reads: Hide the current adoption after the upgrade completes. You can still access it from archived standards.

    • Leave it unchecked if you want the current adoption to remain available alongside the new one.

  4. Click Upgrade Standard. While the upgrade is in progress, the button shows Upgrading…

After the upgrade

When the upgrade succeeds, you see the toast Standard upgraded to the new version. The wizard closes and you return to the standard detail page. The site is now on the newer version with matching configuration preserved.

Troubleshooting

Could not load upgrade preview

Symptom: The wizard shows the message Could not load upgrade preview. Close and try again.

Fix: Click Close to exit the wizard, then reopen it from the standard detail sidebar. If the error persists, check that the standard is still behind the latest published version and that your site has not already adopted the newer version.

Missing required adoption parameters

Symptom: The wizard shows Complete all required adoption parameters or a specific message such as X is required.

Fix: Return to the Adoption Parameters step and fill in every required field before you click Next: Confirm.

Upgrade failed

Symptom: The wizard shows Failed to upgrade standard and the upgrade does not complete.

Fix: Check that the target version is published and newer than your current version. Verify that the site does not already have an active or adopting version of the newer standard. If the problem continues, contact your site administrator.
