Configuring Notification Preferences

CalmCompliance sends notifications for approvals, assignments, comments, and other updates across documents, work orders, issues, and more. Notification preferences let you control which channels you use and how much email you receive, so you stay informed without being overwhelmed.

How to configure your notification preferences

  1. Go to Settings > Notifications (under the Personal section)

  2. Calm Mode: Choose a calm level to progressively reduce notification email while keeping inbox delivery instant. The options are Off, Calm, Calmer, and Calmest. If you do not set a personal level, you inherit the organisation default.

  3. Notification Schedule: Choose which days you want the daily outstanding items summary. By default, it's Monday to Friday—check or uncheck the weekday boxes to change this.

  4. Channel preferences: For each channel (Email, Push, etc.), choose All (receive notifications in all categories except where you've opted out) or Required (only receive notifications where the channel is mandatory).

  5. Category preferences: In the table, use the power icon (All) to turn a whole category on or off. Use the channel icons (email, push) in each row to enable or disable specific channels for that notification type.

    • Enable All first for a category, then toggle individual channels as needed.

    • Categories are grouped by module (Documents, Service Desk, Operations, etc.)—you only see categories for modules your organization uses.

Changes save automatically. You'll receive notifications according to your choices.

Override Calm Mode for a specific kind

When a notification kind is muted by your Calm Mode level, its email checkbox shows unticked with a Calm badge. Tick the checkbox to create an explicit override and receive email for that kind anyway. To return it to following your slider level, click Following Calm · Reset.

Reset to the organisation default

Click Reset to Default to clear your personal Calm Mode level and all per-kind overrides, returning every notification preference to the organisation default.

Before you start

No special permissions are required. Every user can configure their own notification preferences. The categories you see depend on your organization's module entitlements—for example, if your organization doesn't use the Risks module, you won't see risk-related notification categories.

Common questions

Why don't I see certain notification categories? Categories are filtered by your organization's module entitlements. If a module isn't enabled for your organization, its notification categories won't appear.

What's the difference between All and Required for a channel? All means you receive notifications on that channel for every category where you've opted in. Required means you only receive notifications where that channel is mandatory (e.g., critical system alerts). Use Required if you want to reduce email or push volume significantly.

Can I turn off notifications completely? You can turn off individual categories using the All (power) icon. To reduce notifications across the board, set a Calm Mode level and then opt out of categories you don't need.

When do the outstanding items summary emails arrive? The daily outstanding items summary is sent on the days you've selected in Notification Schedule. If you leave Monday–Friday selected, you'll receive it on weekdays only. The summary always sends by email even when Calm Mode suppresses other messages.

Will Calm Mode stop inbox notifications? No. Calm Mode only suppresses email. Inbox notifications continue to arrive instantly at every calm level.
