Civica Import

Civica Import brings locations and assets into CalmCompliance from Civica Cx Asset Management CSV exports. Open it from Settings > Integrations, then use the Civica card after Calm has enabled access for your organisation.

Before you start

You need the Admin role for your site to open Integrations. You also need to be able to create locations and assets for the import to run; if those rights are missing, the import page tells you both are required.

Civica starts as request-required. Until Calm enables it, you cannot run imports. Prepare CSV exports from Civica Cx Asset Management that match the Civica export format. Files must be .csv, UTF-8 encoding is recommended, and each file can be up to 50MB.

Request access

1. Go to Settings > Integrations.

2. Find the Civica card. The description is Import locations and assets from Civica Cx Asset Management CSV exports.

3. If the status is Access required, click Request access to start a support conversation.

4. After Calm enables Civica for your organisation, return to the card. When access is enabled the status is Available and the action is Import.

If you open Civica Import before access is enabled, the page shows: Civica Import requires access from Calm before it can be used. Use Request access from that page. Availability is separate from your role—if you cannot use Civica Import at all, the page asks you to contact your administrator.

Open Civica Import

1. Go to Settings > Integrations.

2. On the Civica card, click Import.

3. The Civica Import page opens with two tabs: Import Locations and Import Assets.

Import order

Import locations before assets so assets can link to the hierarchy you create.

• Import locations first to establish hierarchy.

• Import assets second, linking to existing locations.

• Verify imports using the audit log.

Import locations

On the Import Locations tab, complete these steps in order: Upload CSV, Configure Types, then Preview & Import.

1. On Upload CSV, add one or more Civica location CSV files. Use View Format or Export Guide if you need the expected layout.

2. Click Analyze File. When more than one file is selected, the button label includes the file count. You must select at least one CSV file.

3. On Configure Types, choose which location types to import and map Civica types to application types.

4. On Preview & Import, review the preview, then click Import Locations. Use Back to Configure if you need to change the mapping.

Successful and failed runs show Import Complete! or Import Failed with the result message.

Import assets

On the Import Assets tab, complete these steps in order: Upload CSV, Select Definitions, Configure Instances, then Preview & Import.

1. On Upload CSV, add one or more Civica asset CSV files, then click Analyze File. When more than one file is selected, the button label includes the file count.

2. On Select Definitions, choose the asset models or definitions to create.

3. On Configure Instances, configure the asset instances to import.

4. On Preview & Import, review the preview, then click Import Asset Instances. Use Back to Instances if you need to change configuration.

Import guidelines on the page

• Import Workflow: Upload CSV file from Civica → Configure which types to import → Map Civica types to application types → Preview and confirm import.

• File Requirements: CSV format only (.csv files); UTF-8 encoding recommended; maximum file size 50MB; headers must match Civica export format.

If Civica becomes unavailable

If access is withdrawn later, you cannot run further imports until access is restored. Catalogue availability still follows the shared model described in Integration availability.
