Link checklists to locations and assets

Link a checklist directly to a location, individual asset, or asset model so teams can start it from the record or by scanning a QR code. Linked checklists appear in the record's Linked Checklists section and when you scan the item from the field. Child locations and asset instances can also inherit checklists from their parent location or asset model.

Before you start

You need a Manage or Admin role in the Operations module to link or unlink checklists. You also need an existing checklist template.

  1. Go to Premises in the main navigation and open the location.

  2. Scroll to the Linked Checklists section.

  3. Choose an existing checklist to link.

  4. Save the link. The checklist appears in the Linked Checklists section immediately.

  2. Scroll to the Linked Checklists section.

  3. Choose an existing checklist to link.

  4. Save the link. The checklist appears in the Linked Checklists section immediately.

  1. Go to Premises > Asset Models and open the model.

  2. Scroll to the Linked Checklists section.

  3. Choose an existing checklist to link.

  4. Save the link. The checklist appears in the Linked Checklists section and is inherited by every asset instance of that model.

Start a linked checklist

From the record: Open the location or asset and scroll to the Linked Checklists section. Click Start Checklist to create a work order and open the checklist immediately. While the work order is generated, the button shows Creating...

From a scan: Scan the location or asset QR code. Linked checklists appear in the scan view, so you can start them directly from the field without logging into the main app.

  1. Open the location, asset, or asset model.

  2. Scroll to the Linked Checklists section.

  3. Remove the linked checklist. If the checklist was inherited from a parent location or asset model, remove it from that parent instead.

Common questions

Can I link the same checklist to multiple locations or assets? Yes. A checklist can be linked to any number of locations, asset instances, and asset models.

Do child locations inherit linked checklists? Yes. Child locations inherit linked checklists from their parent locations, and asset instances inherit linked checklists from their asset model.

Can I remove an inherited checklist from an individual asset? No. Inherited checklists can only be removed from the asset model or parent location that linked them.

Why does the section show "No linked checklists available"? The record has no directly linked or inherited checklists. Link a checklist directly, or check that the parent location or asset model has one attached.
