Create work from routine coverage
Select assets or locations from a routine's coverage grid and turn them into a work item. The coverage view shows which rows already have open work attached, so you know whether you are creating new work or adding to existing work before you confirm.
Before you start
You need the Manager or Admin role in Operations to create work from routine coverage.
Open the routine coverage
Go to Operations > Work and open the Routines tab.
Open the routine you want to work from.
Scroll to the Coverage section to see the grid of assets and locations.
Read the coverage view
The coverage grid shows every asset and location tied to the schedule. Each row is one target, so you can see exactly what is covered and when work is expected.
Asset rows — individual equipment instances included in the schedule
Location rows — rooms, buildings, or sites included in the schedule
Look at the due timing labels to spot what needs attention. Labels like Today, Tomorrow, and overdue show when the next occurrence is expected or if it has already passed. The grid includes sorting to help you find items that are due soon or overdue.
Asset rows also show Last Done and Next Due. Location rows do not include editable Last Done or Next Due dates.
Last Done — the date this asset was last completed on the schedule. When there is no history, the cell shows Never. A date you enter here seeds prior service for scheduling only; it is not a completed work-order record.
Next Due — the next calculated due date for the asset. A manual date is marked with an override badge (tooltip: Manually overridden Next Due).
Set Last Done or Next Due for an asset
When you have Manager or Admin access to Operations, you can edit Last Done and Next Due inline on asset rows so existing equipment joins the schedule with the right history and next date.
In the coverage grid, find the asset row.
Click the Last Done or Next Due cell to open the calendar.
Select a date. The value saves as soon as you pick it — there is no separate save step.
To remove a value you set, open the cell again and choose Clear. Clearing a Next Due override returns the row to the calculated due date. Clearing a seeded Last Done with no override removes that date and shows Never when there is still no completion history.
Last Done stays editable only until the asset has real closed work-order history for this schedule. After that history exists, Last Done is read-only and shows the real completion date. Trying to seed over that history fails with: Last Done cannot be set: this asset already has completed work-order history for this schedule.
A manual Next Due takes priority over the normal cadence. If that date falls after the schedule end date, the calculated next due is cleared and the schedule can show a coverage fault — clear or change the override, or extend or clear the schedule end date. See Fix schedule coverage faults.
You can set the same Last Done and Next Due dates from an asset’s Work Schedules card. See Create planned work from a location or asset.
Create work from selected rows
Select the rows you want to include. You can choose individual assets or locations.
Review the Status column to see whether the row already has open work attached.
Click Create Work (N), where N is the number of selected rows.
Review the details in the Create Work confirmation dialog.
Click Create to confirm.
After confirming, the system opens the work order. If the selected rows already belong to an existing open work order in the same organization and site, the system opens that work item instead of creating a duplicate. If the rows were split from an existing parent work item, the new work item is linked to the parent so the history stays connected.
When the coverage grid is empty
If the coverage section shows No Coverage Rows, the routine has no assets or locations that match its scope. Check that the routine has targets set and that the locations or assets are active.
