Create Work and Create Routine
Use Create Work for a one-off job and Create Routine for recurring activity. Both start from Operations > Work. You need the Manager or Admin role in Operations for both journeys. Members can start and complete work but cannot create it.
Create one-off work
Use Create Work when the job is a single task with no repeating schedule. The form has two steps, Details and Review, and nothing is created until you confirm on the review step.
Go to Operations > Work and click Create Work in the page header.
On the Details step, enter the work name. The name is the only required field.
Optionally set a due date, an assignee, a checklist, and the location or asset the work targets. If you leave the target empty, the work defaults to Whole Site, so site-wide work with no specific target is a valid case.
Click Review Work to move to the review step.
Check the details and click Create Work.
Cancelling before you confirm creates nothing.
For what the step types in a checklist capture, and how checklists connect to work, see Checklist Templates. Once the job is created it appears in All Work; see Work Orders for how work is tracked and completed.
Create a routine
Create routines from the Routines tab on the Work page. A routine always saves as inactive, so no work is generated until you deliberately enable it.
Choose a starting point
Go to Operations > Work and open the Routines tab.
Click Create Routine.
On Choose a Starting Point, pick Generate with AI or Start Blank, then click Continue.
With Generate with AI, the assistant proposes the routine and you review and confirm before anything is created. The rest of this walkthrough covers the Start Blank path.
Build the routine
On Name Your Routine, enter the routine's name.
On Choose Schedule Mode, pick the mode:
On-Demand: the routine is reference-only and creates no automatic work.
Recurring: the routine creates work automatically at the intervals you set.
Calendar-Based: this mode only appears when calendar-based scheduling is enabled for your site.
If you chose Recurring, set the timing on Set Recurrence. Choose the Schedule Type: Fixed keeps the schedule on its original calendar beat, Floating measures the next occurrence from when the work was actually completed. See Choose Fixed or Floating for a routine for how the two behave.
Still on Set Recurrence, set up the weekdays and recurrence pattern. A Start Date is required before you can continue. Choose how the routine handles non-working days: Honour Site Working Week, On Blocked Days, and closure calendars.
Set the routine's classification and assignment details on the Classification and People steps.
On Scope and Checklists, choose the coverage targets: Selected Locations, Selected Assets, Asset Model, or Asset Class. Coverage by asset model or asset class automatically includes assets added later that match. You can also attach a checklist here; see Checklist Templates.
On Review and Finish, check the upcoming-dates preview and the recurrence pattern shown in plain language, then save the routine.
Enable the routine
A saved routine stays inactive until you enable it. Rows on the Routines tab show Active or Inactive so you can see which routines are running. The Manager or Admin role in Operations is also needed to enable a routine.
Go to Operations > Work and open the Routines tab.
Find the routine and use the Enable Routine action on its row.
Recurring routines create jobs that appear in Work, and scheduled occurrences show on the Timeline as forecast entries until the work is actually created. See Work Orders for how generated work is tracked, and Use the planned work timeline controls for how those dates appear on the Timeline.
